Standard Life document management project saves £1m

Company overhauls electronic delivery of letters and applications

Standard Life has said that after improving document management it has saved £1.1 million annually.

The insurance and pensions provider - which uses Oracle extensively - has upgraded its thirteen year old Kodak Eastman scanners and installed five high volume i660 document scanners from the supplier.

Standard Life processes nearly all mail – including customer applications – electronically, sending scanned versions of letters to staff by 10am each day, in order to speed up the mail delivery process. Only the legal and HR departments receive paper letters.

The five new scanners will enable the 237-person document services department to process all incoming post, from customers, at its head office in Edinburgh. The company scans 10 million pages annually, and said the new technology offered much higher speeds and efficiency in document scanning.

The scanners run on EMC Captiva document capture software, and link into IBM iSeries servers based on Microsoft Windows. They can each process up to 120,000 pages per day at up to 300 dpi.

Jason Hewitt, scanning and retrieval operations manager, said the images are “scanned into our workflow software - AWD[2] from DST International”. He added: “Post is then electronically delivered to various other departments for subsequent attention.”

The savings principally come from £900,000 cost cuts by reducing the size of the mail processing department by 24 staff. Rationalising hardware and services has removed a further £100,000.
